Thank you for registering to 2020 JCI World Congress Yokohama.

Although the World Congress this year will be held mainly in online form due to the effects of COVID-19, some sessions will be held on-site at Yokohama. These sessions will be held based on anti-COVID-19 guidelines that meet standards recommended by the Japanese government and those in guidelines by the Japan Convention Management Association, Pacifico Yokohama (the venue), and JCI Japan, including rigorous measures to prevent the “three Cs (closed spaces, crowded places, and close-contact setting).” However, to prepare for potential infections, we ask delegates who wish to participate on-site for contact information and other necessary personal information.

*Personal information that is collected will not be used for purposes other than the Congress’s advanced seat reservations.

Although thorough infection prevention measures will be taken during the Congress, the convention of a large number of people in itself inevitably bears infection risks to a certain degree. We kindly ask that you understand this fact and also how personal information will be handled, indicate a check mark on the following two points, and fill in necessary items further below.

With regard to personal information obtained in relation to 2020 JCI World Congress Yokohama, JCI Yokohama (hereinafter, “Organization”) protects the personal information by establishing the following personal information protection Policy, developing a system to protect personal information, and ensuring that all members and employees understand the importance of personal information protection and follow related efforts.

Management of personal information

The Organization ensures that the acquired personal information is accurate and updated to the latest information. Further, in order to prevent wrongful access, loss, damage, tampering, and leakage of personal information, the Organization stringently manages personal information by taking necessary measures such as maintaining security systems, developing management structures, and thoroughly educating employees, as well as safety measures.

Purpose of use of personal information

Personal information acquired from registrants is used to send emails and documents in response to contacts and inquiries received. Additionally, the Organization may phone registrants for important notifications such as those relating to infections.

Prohibition of disclosure and provision of personal information to third parties

The Organization appropriately manages received personal information and does not disclose them to third parties, unless the following apply.

・ When individuals consent to the disclosure of their personal information

・When the Organization discloses the personal information to the Organization’s contractors in order to provide services that the individuals request

・ When the disclosure of personal information is required by law

Safety measures for personal information

In order to ensure the accuracy and safety of personal information, the Organization takes robust security measures.

Inquiries from individuals

If the individuals request to confirm, revise, or delete their personal information, the Organization will respond to the requests upon confirmation of the identity of the requesting individuals.

Compliance with laws or specifications and revisions

With regard to retained personal information, the Organization will comply with Japanese laws and other specifications while also revising and improving the content of this Policy as needed.
